One important element that should not be overlooked is the relationship one builds with the meeting planner.
One of the best ways to keep your speaking pipeline filled is to build a successful relationship with a meeting or event planner as their success is related to your success.

1. Communicate Clearly
Maintain open and clear communication with the meeting planner by understanding their goals, expectations, and requirements for the event. The meeting/event planner is also a key contact for understanding the audience’s needs and interests.
Communication with the meeting/event planner will enable you to tailor your presentation to adequately meet your audience’s needs and expectations.
2. Promotion
Be willing to promote the event through your social media channels and networks. Your assistance and support in promoting the event can help to ensure the event is successful.
3. Flexibility
Your ability to adapt to changes (especially last-minute changes) in the event schedule or format can make a big difference.
I spoke at an event last month on a topic that had a larger-than-anticipated response (“Tough Talks Made Easy”). Due to the unanticipated large registration number for this topic, the meeting planner decided to accommodate the additional participants and expanded the capacity in the room where I was speaking (and did not communicate to me that this had happened!) No problem – the show must go on!
The meeting planner remarked at the end of my session how much she appreciated my flexibility in handling the larger-than-expected audience.
4. Feedback – Post Event
Schedule time after the event with the planner to seek feedback to understand what worked well and what areas need improvement. This demonstrates your commitment to continuous growth and improvement as a speaker as well as provides an opportunity to further build on your partnership.
Bonus Tip
A tip I incorporated many years ago that I learned from a more seasoned speaker is to carry thank-you cards in my day planner.
I handwrite a personal thank you note before I leave the event and either mail it or ensure the meeting planner receives it before I leave. This leaves a positive impression and helps to foster the relationship.
